Draft for review

Business phone and records-retention schedule pending.

QWIKSNAP APPLICATION HOSTING SERVICES, City of Butuan, Caraga, Philippines, operates Qwiksnap. This policy covers hosting, managing, visiting and contributing to event albums. Guests do not need an account. Hosts decide why an album is created, who gets its link and which sharing settings to use. We operate the service and handle account, payment, security and support information. Business and organizational hosts must also provide notices and obtain permissions required for their use.

1. Information we collect

  • Hosts and co-hosts: email, optional display name and role, album details and settings, invitations, sessions and album-management actions. We record the adult-attended-event confirmation when an album is created.
  • Guests: your chosen name, a device identifier associated with a separate session for each album, uploads, filenames, captions, comments, hearts and submission times. Your chosen name appears alongside contributions.
  • Media: photos and videos can contain faces, voices, capture dates, device details and embedded location metadata. We keep originals and create viewing versions. We do not request access to your device's live location.
  • Payments: purchase details, amount, currency, method, references, status and credit activity. HitPay handles payment details; we do not receive your full card number or security code. Approximate country and browser timezone help choose the checkout currency and format receipts.
  • Security and support: IP addresses used for sign-in and passcode protection, technical and error logs, upload and processing events, removal reports, correspondence and contact details you provide.

2. How and why we use information

We use information to sign hosts in, remember guests, enforce album settings, process media, display galleries, provide downloads, apply purchases, send service messages, handle reports and diagnose failures. We also prevent abuse, protect the service and meet legal obligations. Service messages include sign-in links, invitations, receipts, reminders, moderation summaries and storage or retention warnings.

Where applicable, the basis is performing our agreement with you, complying with law, or a legitimate interest in operating and securing the service that does not override your rights. Where consent is required, including for certain sensitive information, it must be obtained for that purpose. Reading this policy or agreeing to the Terms does not provide blanket consent for every use of personal data.

We do not sell personal information or use event uploads for advertising. Qwiksnap does not use facial recognition to identify people or make automated legal or similarly significant decisions about them. File checks, access controls and limits can refuse uploads or access; you can ask us to review a problem.

3. Who sees your information

The owner and invited co-hosts can see and manage all uploads, including those awaiting moderation. In shared mode, other guests can see uploads made available in the gallery, uploader names, captions, comments and who added hearts. In collection-box mode, each guest sees their own uploads; the owner and co-hosts see all uploads. The album explains its current mode before you join. The host can change settings, including switching to shared mode.

A live album is accessible to anyone with its link and, if enabled, its passcode. Links and QR cards can be forwarded. Download settings cannot prevent screenshots. We cannot recall copies saved outside Qwiksnap when an upload is removed.

Owners and co-hosts can export originals on Event albums. Originals can retain location and other camera metadata. Gallery photo versions strip embedded metadata; exports are not anonymized. An unconverted video original is available to the owner, co-hosts and uploader rather than other guests. Remove sensitive metadata before uploading if you do not want to share it.

Authorized Qwiksnap operators may access information as needed for support, reports, security, maintenance or legal obligations. Removal reports go to our operators and do not require host approval.

4. Service providers and international processing

Our providers include Railway for application hosting and the database, Cloudflare for storage, delivery and security, Coconut for video processing, Resend for email, Sentry for error reporting and HitPay for payments. They receive information needed for their functions, such as video files for conversion or addresses for service emails. Payment providers also handle information under their own privacy notices and legal obligations.

Providers may process information outside the Philippines or your home country. We remain responsible for information under our control and must use appropriate contractual and security safeguards for processing on our behalf. Information may also be disclosed where legally required, to protect people or the service, or to establish, exercise or defend legal claims.

5. Cookies and storage on your device

We use functional cookies and browser storage to provide Qwiksnap. We do not use advertising cookies or cross-site advertising trackers.

  • Host sign-in: normally up to 90 days, unless you sign out or access is revoked sooner.
  • Guest identity: up to one year, recognizing your separate guest session on each album.
  • Passcode access: up to one year per album, subject to the host changing or revoking access.
  • Timezone: up to one year, supporting regional checkout and date formatting.
  • Preferences: local storage remembers interface choices until cleared or replaced.
  • Upload recovery: browser storage can keep pending files and details to resume after a reload. Terminal uploads are cleared; entries over a day old are cleaned up when the uploader next reads its queue.

Clear or block cookies and site data through your browser settings. This can sign you out, forget passcodes or guest identity, and prevent upload recovery. Clearing browser data does not delete uploaded files. Cookie expiry does not erase server records.

6. How long information is kept

Album media is kept after the event date for 1 month on Free, or 6 months on Event and drafts. If an Event album is over its storage quota, the period becomes 3 months. Getting within quota before expiry restores standard Event retention. We warn the owner and allow at least 30 days from that notice before automatic deletion. Expiry removes album media and archives, but does not automatically delete the host account or every associated record.

Account and album records, guest sessions, payment and credit history, reports and operator audit records can remain after media deletion. These support account administration, accounting, dispute resolution, security and legal obligations. Their retention is assessed separately from album media. Backups may contain earlier records until their retention cycle ends. You can request erasure, subject to lawful retention needs.

Information should be kept only as long as necessary for its stated purpose or a legal requirement. The detailed schedule for non-media records and backups must be confirmed before this draft policy is published.

7. Removing an upload or reporting a concern

You can edit or delete your upload during the host's guest edit window (normally 5 minutes). After that, ask the host or use “Report or remove a photo” in the album's About panel or the report control in the viewer. Qwiksnap reviews these requests directly. Include the album link, identify the item and explain whether it is yours or why it should be removed. A contact address is optional but lets us follow up.

We aim to review abuse reports within 24 hours and uploader removal requests within 72 hours. Verification or further information may be needed. These review targets do not guarantee deletion or replace deadlines required by law.

Deletion hides an item from the gallery immediately. Ordinary deletion has a 5-minute undo period before permanent file deletion is queued. Operator takedowns have no undo period. Processing, retries and cached links can delay complete removal; a previously shared viewing link can remain usable for up to two hours while caches expire. Copies downloaded by others are outside our control. Information may be retained where legally required or necessary for an abuse investigation or legal claim.

8. Your privacy rights

Email [email protected] for privacy questions or requests about your information. Identify the relevant account or album and describe the request. You can use this address even if you cannot access the album or do not have a guest session.

Depending on applicable law, you may request information about processing, access or a copy, correction, erasure or blocking, or a portable copy where available. You may object to certain processing or withdraw consent where that is the basis. Withdrawal does not invalidate earlier lawful processing. Some data is necessary to provide an account or album, so a request may affect available features.

We may reasonably verify identity before releasing information or making a change. A guest name alone does not prove identity. You do not need host permission to raise a privacy concern. You may complain to the Philippine National Privacy Commission or the relevant authority where you live. This policy does not limit rights or remedies under applicable law.

9. Children, security and changes

Qwiksnap is for adult-attended events and is not directed at children. Hosts must obtain permissions required to share a child's image. Parents or guardians can raise concerns through the removal process. Adult attendance does not remove children's privacy rights.

Access controls, signed media links and other safeguards protect information, but no online service guarantees absolute security. Protect sign-in emails, album links and passcodes. Share only what you are comfortable making available to the album's audience. If a breach requires notice, we will notify people and authorities as required.

We will identify the effective date when this policy is finalized. Later material changes will be communicated through the service or email where appropriate, with consent requested for new uses where required.
